1. Who we are

The Flexible Space Marketing Company Ltd operates under the names FlexiSpace Marketing and Flex Marketing Academy.

In this policy, "we", "us" and "our" refer to The Flexible Space Marketing Company Ltd.

We are the controller responsible for the personal information described in this policy. It covers information collected through our websites, enquiry forms, downloadable resources, course registration and related communications.

If you have questions about this policy or how we use your information, contact: rob@flexispacemarketing.com

2. Information we collect

The information we collect depends on how you interact with us. It can include:

  • Contact information: your name, email address, telephone number, company and job title, where you provide them.
  • Enquiry information: messages, requirements and other details you share when asking about our services or courses.
  • Resource requests: details submitted when requesting a guide or other downloadable material.
  • Marketing preferences: whether you have agreed to receive marketing emails, together with records of your preferences and unsubscribe requests.
  • Course information: registration details, purchases, account information, course progress, assessment responses and support enquiries.
  • Transaction information: the course or service purchased, billing information and payment status. Payments are processed through the relevant payment provider.
  • Technical information: information about your visit, such as IP address, browser, device and pages accessed, depending on the website tools and cookie choices in use.

Please avoid including sensitive personal information in general enquiry forms unless it is necessary for your request.

3. How and why we use your information

We use personal information where necessary to respond to enquiries and discuss our services; deliver guides and other resources you request; provide consultancy, training and related customer support; process course purchases and manage course access; check eligibility for particular courses where an eligibility process applies; send relevant marketing communications where we have an appropriate legal basis; maintain business and financial records; protect our websites and services against misuse; and understand and improve our services, subject to the applicable rules for analytics and cookies.

We do not sell your personal information.

4. Our lawful bases

Contract: to take steps at your request before entering into a contract, and to deliver services or courses you purchase.

Legitimate interests: to respond to business enquiries, fulfil requests for information, administer business relationships, manage course eligibility, and maintain the security and proper operation of our services. We consider these interests alongside your rights and reasonable expectations.

Consent: where required for email marketing, optional cookies or similar technologies. You can withdraw your consent at any time.

Legal obligation: where we need to retain or disclose information to meet legal, tax, accounting or regulatory requirements.

5. Free guides and marketing emails

When you request a free guide, we use your details to fulfil that request and send you the download link.

Requesting a guide does not, by itself, subscribe you to an ongoing marketing email sequence. Where the form offers an optional marketing checkbox, your choice is recorded separately.

If you subscribe to marketing emails, we may send practical marketing tips, Academy news and information about relevant courses and services.

You can unsubscribe using the link in our marketing emails or by contacting rob@flexispacemarketing.com.

Unsubscribing from marketing does not prevent us from sending necessary messages about a purchase, service or resource you have requested.

6. Service providers and sharing information

We use service providers to operate our websites and deliver our services. These include:

  • GoDaddy/Airo, for our main website, form submissions, inbox messaging and associated website functionality.
  • The Airo email gateway, for delivering automated emails such as guide download links and enquiry notifications.
  • Kajabi, for Academy pages, course accounts, purchases and course delivery.
  • Tally, where used for forms and course eligibility checks.
  • Payment processors handling transactions through Kajabi's platform.
  • Professional advisers, such as accountants or legal advisers, where necessary.

These providers receive information relevant to the services they perform. We may disclose information where required by law or where necessary to establish, exercise or defend legal rights. We do not sell your personal information.

7. International processing

Some of our service providers operate internationally, so personal information may be processed outside the UK, including in the United States.

We are in the process of confirming the specific transfer arrangements that apply to each provider we use. If you would like information about the safeguards in place for any particular service, please contact rob@flexispacemarketing.com.

8. How long we keep information

We keep personal information for as long as it is needed for the purpose for which it was collected, taking account of:

  • Whether an enquiry or business relationship is still active.
  • Any ongoing service, course access or support requirements.
  • Whether information remains relevant and up to date.
  • Your marketing preferences.
  • Legal, accounting and record-keeping requirements.
  • The need to resolve complaints or establish, exercise or defend legal claims.

We review information and delete or anonymise it when it is no longer needed. If you unsubscribe from marketing, we may retain a limited suppression record so that we can respect your choice.

9. Cookies and website measurement

Our website uses a cookie consent banner. You can accept or decline analytics cookies when you first visit the site, and change your choice at any time.

Strictly necessary cookies support the operation of the website and cannot be declined.

Analytics cookies, where accepted, are used to measure how visitors use the site. We use Google Analytics 4 for this purpose when you have given consent. Google Analytics sets cookies that collect information about your visit in a form that does not directly identify you.

We do not use advertising or targeting cookies on this website.

Agreeing to receive marketing emails is separate from making choices about cookies.

10. Keeping your information secure

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss or misuse. Our website is hosted on GoDaddy's platform, which maintains its own security controls.

Please be aware that transmitting information over the internet is not completely secure. We cannot guarantee the security of information you send to us before it reaches our systems.

11. Your rights

Under UK data protection law, you have rights including the right to:

  • Access the personal information we hold about you.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to delete your information in certain circumstances.
  • Object to or restrict our use of your information in certain circumstances.
  • Withdraw consent where we rely on consent as our lawful basis.
  • Complain to the Information Commissioner's Office (ICO) if you are unhappy with how we have handled your information.

To exercise any of these rights, contact rob@flexispacemarketing.com. We will respond within the timeframes required by law.

12. Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last revised. We encourage you to check this page periodically.
